No business likes to waste money. But, it’s a fact. American businesses are doing just that when it comes to their document imaging output functions. Business people have become comfortable with their existing method of printing, copying, and distributing documents; or they refuse to believe that advancements in technology have created a better, faster, and more
economical way to implement a corporate document strategy.
Carr Business Systems, A Xerox Company, understands that change can be difficult and wants to help organizations take the initial steps in identifying the true costs associated with document output and reproduction.
Carr Business Systems, A Xerox Company is committed to helping organizations explore
opportunities for cost savings and reverse document workflow trends.
Consider
-
Businesses spend approximately 10% of revenue on document creation and output.
-
Most companies are unaware of the true costs of cost reduction opportunities.
-
Companies are spending up to $100 per employee for office printing.
-
Analysts calculate that figure could be reduced 10-30% with corporate document strategy.
-
50% of office fleets are over 5 years old.
-
Over 55% of network traffic is output on these office printers.
-
IT personnel spend approximately 15% of their time on printing-related issues.
Taking The First Step
Carr is interested in knowing how your business uses printers as an output device. At one time, printers were the only solution for putting computer-generated documents on one piece of paper. Ease of output has become exceptional, but the cost of operation has become outdated causing expenses to grow.
Technology has provided businesses with alternatives that not only reduce administrative expenses, but also have the potential to increase employee productivity. Most businesses tend to overlook this opportunity to reduce overhead. Their current method has become comfortable; and their IT personnel are overwhelmed by their consuming responsibility as they make sure current systems function properly, which can be a challenge when updates, current software, and IT assets are constantly changing.
Carr wants to work with your administrative staff, IT stakeholders, and finance department without demanding much of their time. Additionally, there is no further obligation to purchase our products or services.
The 4-Step Process
Following is the four-step process we take to complete a thorough analysis that provides actionable results. We call this our Snapshot Evaluation and are fairly certain that the end result will be viewed positively in terms of the time invested.
1 Interviews
We begin by interviewing your top management to gain an appreciation for your objectives, challenges, and opportunities. We then meet with your workgroup managers and end-users to
better understand their workflow, document production, and sensitivities.
2 On-Site Survey and Data Gathering
This step examines all cost information related to the document output function - for example costs related to supplies, maintenance agreements, preprinted forms, letterhead usage, and outsourcing. Equipment is catalogued and volumes are determined with a thorough workflow analysis.
3 Consultation
A one-hour presentation with your executive management team is given to review the document workflow within each workgroup and to detail all costs associated with document output technology. We will make recommendations on how to gain efficiencies, lower expenses,
and potentially improve employee productivity and job satisfaction.
4 Relationship
As we indicated upfront, you have no further obligation by allowing us to perform a Snapshot Evaluation. We do want to make ourselves available at any time to answer additional questions that relate to our recommendations.
